Fleet module

Vehicles and machines that stop being a black hole in your costs.

RelayPlan Fleet tracks the vans, trucks and machines you run — where they are, who is using them, when they are next due for service, and what they cost each project.

Machines are a cost centre, not a fixed asset

Most contractors know what a vehicle cost to buy and almost nothing about what it costs to run per job. Fleet closes that gap with the same cost-centre logic as everything else in RelayPlan.

Every vehicle on record

Vans, trucks, excavators and small plant in one register with documents and status.

Service before breakdown

Service intervals by date or hours, with reminders so maintenance is planned, not emergency.

Who has what, and where

See which vehicle is assigned to which crew or site, and when it is coming back.

Running cost per project

Fuel, service and usage hours post to the projects the machine actually worked on.

Fleet and plant management for construction firms

A mid-sized contractor might run a dozen vans, a few trucks and a yard of small plant. Insurance renewals sit in one inbox, service books in the glovebox, and the question of whether a particular machine earns its keep is essentially unanswerable.

RelayPlan Fleet puts each vehicle and machine on a record with its documents, service plan, allocation history and running costs. Reminders cover registration, insurance and inspections as well as service intervals — so nothing lapses because the person who remembered it was on holiday.

Because usage is booked against projects like any other resource, machine time becomes a real line in job costing. Over a year you can see which plant pays for itself, which is chronically idle, and where hiring would beat owning.

Fleet — FAQ

No. RelayPlan records where a vehicle is assigned and who is responsible for it, rather than tracing its live position. If you already use a telematics provider, talk to us about bringing that data in.
Yes. Generators, compactors, lifts and similar equipment can be registered as fleet items with their own service intervals and usage booking, or as tools in the Warehouse module — whichever fits how you manage them.
Each machine can carry a cost rate per hour. Booked usage multiplies hours by that rate and posts the result to the project cost centre, exactly like labour.
Service due by date or operating hours, plus registration, insurance and technical inspection expiry — all with configurable advance warning.
Yes. Purchase or lease cost, fuel, maintenance, parts and inspections roll up per vehicle, so you can compare running costs across the fleet and against hire rates.
Whoever you authorise — typically site leads or machine operators, from the mobile app, in the same flow as logging hours.
Fuel costs can be recorded per vehicle manually or imported from a spreadsheet. For a specific fuel-card provider, contact us for integrations.
